Your 30-Day Wedding Planning Checklist: What to Finalize Before the Big Day

The final month before your wedding is exciting, but it can also feel overwhelming. By now, the big decisions have been made, and your focus shifts to confirming the countless details that bring your celebration together.

The key to a stress-free wedding isn't scrambling during the last week. It's having a clear plan for what needs to happen during the final 30 days.

At Julia Morgan Redwood Grove, we require a Final Vendor Meeting approximately 30 days before every wedding. This meeting ensures that everyone, from your caterer and florist to your photographer and DJ, is working from the same plan, allowing you to relax and enjoy your day.

Four Weeks Before (30 Days)

This is the time to confirm every major vendor and ensure contracts, insurance, and timelines are complete.

Review and confirm:

  • Guest count estimates

  • Vendor contracts

  • Ceremony and reception layouts

  • Rental orders

  • Lodging reservations

  • Transportation plans

  • Marriage license requirements

  • Wedding day timeline

  • Event Insurance provided to vendor

  • Retainer and rental fees paid in full

  • Bartending, Catering and any other applicable licenses/certificates/permits provided to vendor

If you're hosting your wedding at Julia Morgan Redwood Grove, this is also when we'll schedule your final venue walkthrough and vendor coordination meeting.

Three Weeks Before (21 Days)

Begin focusing on guest experience.

Finalize:

  • Seating chart

  • Place cards

  • Welcome bags

  • Signage

  • Programs

  • Menu cards

  • Special dietary requests

It's also a great time to provide vendors with emergency contact information for someone other than the couple.

Two Weeks Before (14 Days)

Now it's time to communicate.

Send your final timeline to:

  • Photographer

  • Videographer

  • Caterer

  • Florist

  • DJ or band

  • Rental company

  • Officiant

  • Transportation provider

  • Wedding coordinator

  • Venue

Everyone should be working from the exact same version.

One Week Before (7 Days)

Avoid making major changes.

Instead, focus on:

  • Packing for your stay

  • Breaking in wedding shoes

  • Confirming arrival times

  • Preparing vendor gratuities

  • Packing décor items

  • Gathering marriage license documents

  • Assigning someone to collect gifts and personal belongings after the reception

This week should be about confidence, not adding new projects.

The Day Before (1 Day)

Take time to enjoy the moment.

Attend your rehearsal.

Confirm vendors have arrived safely if they're traveling.

Hydrate.

Eat well.

Get plenty of rest.

Most importantly, trust the planning you've already completed.
